This Privacy Policy explains what information the O2B Gym mobile application (“the App”, “we”, “us”) collects, how we use it, and the choices you have. By using the App you agree to the practices described here.
01Information we collect
We collect only what is needed to run a gym membership service:
Account & profile
- Phone number — used to sign in via a one-time passcode (OTP) and to identify your membership.
- Profile details — your name, and optionally email, gender, date of birth, height and weight, as recorded by gym staff.
- Photo — an optional profile photo, captured with your camera or chosen from your device gallery, used to identify you at the gym.
Membership & billing
- Your membership plans, start and end dates, status, and access eligibility.
- Payment records entered by gym staff (amount, method, date, reference). The App does not process card payments or store card numbers.
Technical data
- Basic device and connection information (such as IP address and app activity) used for security, rate-limiting and troubleshooting.
02How we use it
- To authenticate you and keep your session secure.
- To show your membership status, days remaining and dues.
- To authorise gym door access when your membership is active.
- To let authorised staff manage members, plans, payments and reports.
- To protect the service against fraud and abuse.
We do not use your information for advertising, and we do not sell it.
03SMS & one-time passcodes
When you sign in, we send a one-time passcode to your phone number through a third-party SMS provider (MsgClub) acting as our processor. The code is short-lived, single-use and stored only in hashed form. We share your phone number with the provider solely to deliver that message.
04Device permissions
- Camera — only when you choose to take a profile photo.
- Photos / Gallery — only when you choose to select an existing photo.
These permissions are requested at the moment you use the feature, and the App does not access your camera or photos in the background.
05How we share information
We share information only:
- With service providers that operate the service on our behalf (such as our SMS provider and our hosting provider), under appropriate confidentiality obligations.
- With O2B Gym staff who manage your membership.
- Where required by law or to protect the rights and safety of users.
06Storage & security
Your data is stored on secured servers managed by us. We protect it with measures including encrypted connections (HTTPS), hashed credentials and one-time codes, signed access tokens, and access controls limiting data to authorised staff. No method of transmission or storage is completely secure, but we work to protect your information using reasonable safeguards.
07Data retention
We keep your information for as long as your membership is active and as needed to maintain accurate membership and payment records, comply with legal and accounting obligations, and resolve disputes. When no longer needed, data is deleted or anonymised.
08Your rights & choices
You may request to access, correct or delete your personal information. Because member accounts are managed by gym staff, please contact O2B Gym or email us using the details below, and we will action your request in line with applicable law, including India’s Digital Personal Data Protection Act, 2023.
09Children
The App is a membership tool for a fitness service and is not directed to children. Where a member is a minor, their membership is set up and overseen by a parent or guardian together with gym staff. We do not knowingly collect data from children except as part of a guardian-managed membership.
10Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you in the App.
